ERP & Business Systems
Most businesses don’t decide to adopt ERP software — they get forced into it. Inventory counts stop matching reality, finance and operations teams work from different versions of the same spreadsheet, and someone spends every Friday manually reconciling numbers that should already agree. If that sounds familiar, it’s worth evaluating ERP deliberately rather than patching the symptom.
Signs You’ve Outgrown Spreadsheets
- Multiple teams maintain their own version of the same data (inventory, orders, customers) and they regularly disagree
- Month-end reporting takes days of manual reconciliation
- Errors from manual data entry are starting to cost real money
- You can’t answer basic operational questions (“how much of X do we have, right now”) without asking someone to check
If two or more of these are true, the cost of not unifying your systems is probably already higher than the cost of doing it.
What to Actually Look For
1. Fit with your real workflow, not a generic one. Off-the-shelf ERP platforms are built for an “average” business in your category. If your process has genuine quirks — non-standard pricing, a specific fulfillment model, unusual approval chains — check carefully whether the platform can actually model that, or whether you’ll be bending your business to fit the software.
2. Integration with what you already use. Your ERP needs to talk to your website, e-commerce store, and any tools you’re not planning to replace. An ERP that can’t integrate cleanly just becomes one more disconnected system.
3. Role-based access that matches your team. Different roles need different views and permissions. If everyone sees everything (or the permission model is an afterthought), adoption suffers and errors increase.
4. A realistic migration plan. Data migration is where ERP rollouts most often go wrong. Get a clear answer, before committing, on how existing records move into the new system and how long that takes.
Off-the-Shelf Platform vs Custom ERP Modules
For many growing businesses, configuring a proven ERP platform is faster and cheaper than building from scratch. Custom development becomes the better option when your workflow genuinely doesn’t fit standard modules, or when deep integration with existing custom software makes an off-the-shelf platform impractical. The honest answer is usually “start with assessment, not a platform decision” — the right approach depends entirely on what your operations actually look like today.
Avoiding a Failed Rollout
Most failed ERP rollouts fail on adoption, not technology. The system works fine; the team doesn’t use it correctly, or reverts to the old spreadsheet within a month. Budget real time for training, and roll out module by module rather than flipping every team over at once.
